Conditions of Loan

The Traveling Exhibitions program of George Eastman House was begun in 1952 as a means of sharing the Museum’s renowned photographic collections with other institutions and their public.

The Exhibitions

George Eastman House traveling exhibitions contain original photographs and artifacts that require a high level of environmental controls and security. Modern print versions of some exhibitions such as Lewis Hine are available. These have fewer restrictions.

All exhibitions

  • are wall-ready, with hanging hardware
  • include an introductory wall text panel
  • include object labels that are supplied on computer disk or printed out onto plain white paper with trim guides for mounting onto mat board

The photographs are matted with 4-ply mat board, glazed with Plexi-glas, and framed (generally, in black, Neilson No. 12, metal frames). The exhibitor is responsible for supplying the main exhibition title vinyl.

Length of Booking

Booking periods are six, eight, or 12 weeks depending on the exhibition. Fees are prorated by the week beyond these periods. Schedules are adjustable and every effort will be made to accommodate your special needs.

Exhibition Support

Public relations materials are supplied with each exhibition approximately four months prior to display date.

Gallery guides, for purchase at a nominal fee, are available with some exhibitions.

Conditions of Loan

A signed contract is required of all exhibitors.

The rental fee is payable, in full, four months prior to the exhib-itor’s display dates. Written notice of cancellation by the borrowing institution is required six months prior to the scheduled opening dates of the exhibition or the full fee will be charged.

A certificate of fine art insurance for “wall-to-wall” coverage must be provided by the exhibitor at least ten days prior to the exhibition being shipped to them.

Shipping

Domestic exhibitors are responsible for outgoing shipping arrangements and costs. Exhibitors outside the United States are responsible for round-trip shipping costs and customs fees. Shippers must be approved by the Eastman House prior to shipping.

If a courier is required, the exhibitor will be notified in advance of contract signing.

Exhibitions are shipped in either poly crates that measure 42L x31W x 28H inches (107 x 79 x 67 cm) or wooden crates that measure approximately 45L x 22W x 35H inches (114 x 56 x 89 cm). Each full crate weighs approximately 200 pounds (90 kg.).

The exhibition will be shipped to the exhibitor at least two weeks prior to the opening date of the exhibition.

Facility Requirements/Care of the Exhibition

The exhibitor is required to complete an American Association of Museums standard facility report form prior to finalizing the contract.

The exhibitor is required to complete incoming and outgoing condition reports on the works in the exhibition.

The exhibitor must agree to protect the objects in the exhibition from deleterious and threatening conditions, such as direct sunlight, precipitation, strong unfiltered illumination, and widely fluctuating and extreme conditions of temperature and humidity.

Photographs and other loaned items may not be displayed in lighting conditions exceeding 10 foot candles (110 lux), unless otherwise advised. Storage and display environments of 67–72° Fahrenheit (19.4–22.2° C) ± 3°, and 35–45 percent relative humidity ± 5 percent are required.
